New officer Election

The notice for the 529th meeting, on Tuesday, November 22, 2016, previewed the club's new officer election with all seven positions open: president, VPE, VPM, VPPR, secretary, treasurer, and SAA. It laid out the duties of each role for members considering a run. One prepared speech was also on the agenda, Judy Guo's CC3 'Let Her Win,' to be evaluated by Koby Sa.

What is the meeting going to be like on the coming Tuesday?

Theme: New officer Election

It’s going to be a serious but exciting evening. The office team from Jan to Jun,2017 is going to be announced. Who will they be?

I don’t know. The only thing I know is that it’ll be an unforgetable night for you if you come here.

And my dear members, there will be 7 chances for you to challenge yourself. Are you ready?

Currently all positions, president, VPE, VPM, VPPR, secretary, treasurer SAA are all open to all the members.

During the election, every candidate should present the reason why he or she participates in the election. To help you to have a better understanding of each role, I’ll show you the the duty of each role.

Duty of Each Officer

President

  1. Preside at all club meetings and all meetings of the club executive committee

  2. See that this club adds new members and meets the needs of its current members to achieve their communication and leadership goals

  3. Establish a club climate that is supportive, stimulating, and rewarding to its members

Vice president Education(VPE)

  1. Gain commitments from members to set educational goals for themselves

  2. Assure that club members are aware of the schedule of meeting roles

  3. Plan meetings that will assist members in meeting their goals

  4. Work with club members to keep meetings fun and well-run

  5. Work with your members to ensure that they submit their applications for educational awards promptly

  6. Provide for educational topics at club meetings such as those from the Successful Club Series and Leadership Excellence Series

  7. Represent your Club at Area and District Council meetings

  8. As the second highest-ranking officer, preside over the meeting when the president is absent

Vice President Membership(VPM)

1. Lead the Club's membership building efforts
2. Achieve the membership goal of 8 new members

  1. While the VP of PR motivates people to visit your Club, you motivate the current members to invite guests

  2. Promptly give new member applications and dues to the Secretary and Treasurer

  3. Personally greet guests and provide them with guest packets, including a membership application

  4. Make sure each guest hears about the benefits of Toastmasters and gets a personal invitation to become a member

Vice President Public Relations(VPPR)

  1. Attract visitors to the Club through free publicity

  2. Use a variety of means to promote the club in the community or organization

  3. Enlist your fellow club members in PR activities, providing them with promotional materials and ideas for inviting guests

  4. Regularly recognize member achievements with methods such as announcements, newsletters, emails, and articles that you submit for the district bulletin

Secretary

  1. Maintain an accurate membership roster

  2. Work with the Treasurer to ensure that new member application and dues get to Toastmasters International World Headquarters as soon as possible

  3. Submit the new club officer list to Toastmasters International on time

  4. Work with the Treasurer to submit your club’s semi-annual report and dues to Toastmasters International on time

  5. Provide the club with minutes of each meeting

Treasurer

  1. Keep financial records and prepare the club budget

  2. Announce when it’s time for members to pay dues

3. Explain the dues structure tomembers
4. Collect dues

  1. Work with the Secretary to ensure that the Club submits dues on time to Toastmasters International World Headquarters

Sergeant At Arms(SAA)

1. Arrange the meeting location
2. Maintain club equipment in working order

  1. Ensure that adequate club supplies are available

  2. Set up the room before the meeting begins

  3. Make all relevant educational and PR materials are displayed

6. Attend to special equipment needs
7. Greet guests

  1. Help the President make sure the meeting begins on time
